Privacy policy

GenX OS is the internal business system of GENXWIFI LLC (“GenX WiFi”, “we”, “us”). GenX WiFi staff use it to prepare proposals, run jobs and bill clients. This policy explains what information GenX OS holds, how it is used and who it is shared with. It is not offered to the public as a product.
Information we hold
- Staff accounts: name, email address and a password (passwords are handled by our sign-in provider and never stored in readable form).
- Client and job details that staff enter: company and contact names, email addresses, billing email, venue addresses, proposals, invoices, job costs and sales-tax exemption certificates.
- People who open a proposal or invoice link we send them do not need an account, and we do not track them with analytics.
QuickBooks Online
When a GenX WiFi administrator connects GenX OS to GenX WiFi's QuickBooks Online company through Intuit's sign-in, GenX OS receives permission to use that company's accounting data. It uses that permission only to keep billing in step with QuickBooks:
- It reads company information, customers, products and services, tax settings, invoices and payments.
- It creates and updates customers and invoices, and voids invoices that were voided in GenX OS.
- Intuit notifies GenX OS when invoices or payments change, and GenX OS checks once a day for changes it missed.
The access tokens Intuit issues are encrypted (AES-256-GCM) before they are stored and are only used by server code. Disconnecting from GenX OS revokes them with Intuit and deletes them. Disconnecting from inside QuickBooks revokes them at Intuit, and they can no longer be used.
Payments
Clients pay invoices through QuickBooks Payments or by bank transfer. GenX OS never receives or stores card numbers or bank account details; it only records that a payment was made and how much.
How we use information
Only to run GenX WiFi's business: preparing proposals, delivering jobs, invoicing, collecting payment and keeping accounting and tax records. We do not sell information, use it for advertising or share it with anyone except the service providers below.
Service providers
- Supabase: database, file storage and sign-in.
- Vercel: hosting.
- Intuit: QuickBooks Online and QuickBooks Payments.
Cookies
GenX OS uses only the cookies it needs to keep staff signed in and to complete the QuickBooks connection step. There are no analytics or advertising cookies.
Security
All traffic is encrypted in transit (HTTPS). Access to records is limited to members of the organisation they belong to, according to each person's role.
Keeping and deleting information
We keep information for as long as we need it to run the business and to meet legal and tax record-keeping duties. You can ask us to see, correct or delete information about you, subject to those duties.
Changes
We will post any changes to this policy on this page, with a new effective date.
